Suppliers & payables

Supplier and accounts payable software

Pay the right supplier the right amount, once. From purchase order to payment, with duplicate detection and a three-way match between order, receipt and invoice before anything is paid.

Paying the wrong supplier, paying twice or paying more than was ordered usually comes down to one thing: the order, the delivery and the invoice were never compared. Kinetic VOC compares them before payment.

Suppliers are held once, with approved bank details. Purchase orders, receipts and invoices are matched, duplicates are caught, and payment batches need the right approvals.

What you can do with accounts payable software

  • One supplier register

Each supplier once, with contacts and approved bank details, shared by every part of the system that needs them.

  • Purchase orders

Raise and track orders so there is something to match an invoice against.

  • Three-way match

Order, receipt and invoice are compared, and differences are shown before the invoice can move forward.

  • Duplicate detection

An invoice that looks like one already entered is flagged, so the same bill is not paid twice.

  • Approval workflows and payment batches

Invoices are approved by the right people and paid in batches, with a record of who approved what.

  • Ageing and spend reports

See what is owed, how old it is and where the money goes, by supplier and over time.

How it works

  1. Register suppliers and raise orders

Add suppliers with approved details and raise purchase orders for what you buy.

  2. Capture and match invoices

Enter invoices and let the system match them to orders and receipts, flagging differences and duplicates.

  3. Approve and pay

Approve in the order your rules require and release payment batches, with every step recorded.

Questions about this area

What is a three-way match?

It compares what was ordered, what was received and what was invoiced. If they disagree, the difference is shown before the invoice is paid.

Does it replace my accounting software?

It manages the purchasing and payables process and reports on it. It is not a general ledger.

Who can change a supplier’s bank details?

Only people with that permission, and the change is recorded in the audit trail.
